Scaling group classes without scaling headcount

A San Diego music studio unlocked group instruction — a revenue stream they couldn't previously offer — by automating student progress tracking and grading.

The Challenge

The problem

The studio had a waitlist for private lessons and no way to serve more students without hiring more instructors. Group classes were the obvious answer, but grading and tracking progress for 10–15 students at once felt unmanageable. Each lesson would generate a mountain of per-student feedback that instructors simply didn't have time to produce consistently.

Our Approach

What we built

We built an automated grading and progress-tracking system around their existing lesson structure. Instructors record short per-student audio notes during or after class. AI processes each note into a structured progress report, scores students against skill benchmarks, and sends individual summaries to parents — all without the instructor touching a keyboard.

How We Did It

The work, step by step

1

Skill framework mapping

We worked with the instructors to define graded skill benchmarks for each instrument level — translating what they already knew intuitively into a consistent, scorable rubric.

2

Audio note intake

Instructors dictate quick observations per student during or right after class. Audio is transcribed and matched to the right student and skill areas automatically.

3

Automated grading & reports

AI scores each student against the rubric and generates a plain-language progress summary. Reports are ready before the instructor has left the building.

4

Parent-facing delivery

Progress reports are sent to parents automatically after each session — consistent, professional, and zero additional effort from the studio.

We always knew group classes could work, but the grading felt impossible. Now it just happens. We opened up two new group tracks and filled them in a week.
